Measurement backup sheet
A measurement backup sheet answers the question "where did this quantity come from?". Instead of recording only the result (for example, 40 m² of slab), it captures the breakdown that produces it: the dimensions taken from the drawing or measured on site (length, width, height, number of pieces) and the operations that combine them (length × width, sums of segments, deduction of openings). This way every item in the schedule is backed by a verifiable calculation and not by a loose number.
It is used at two stages. When estimating, the backup sheet supports the quantity takeoff: it is the calculation record of each item's volume extracted from the drawings. During construction, the progress-claim backup supports payment: it measures and documents the quantity actually built in the period, which multiplied by the unit price forms the amount of the progress claim. In both cases it is usually accompanied by a sketch that locates and draws what was measured.
On public works, the measurement backup sheet is typically a formal requirement under public procurement laws and regulations: the quantities in each progress claim must be supported by backup sheets and sketches that the supervising engineer reviews and approves before payment. On private projects it serves the same backup and control function, at the level of detail required by the contract or the supervisor.
Its value lies in traceability: a well-prepared backup sheet lets any reviewer reconstruct the quantity without measuring everything again, spot errors or omissions and reconcile what was estimated against what was built. Traditionally it is prepared in Excel spreadsheets or printed forms with hand-drawn sketches; today it is also generated automatically when quantifying over the digital drawing, linking each measurement to its item.
Example
Backup sheet for an 8.00 m × 5.00 m slab: the dimensions and the operation 8.00 × 5.00 = 40.00 m² are recorded. If the slab has a stair opening of 2.00 m × 1.00 m, the backup sheet deducts 8.00 × 5.00 − 2.00 × 1.00 = 38.00 m², leaving the calculation visible for review.
