Invite your team and assign roles
Matterial is built for the whole jobsite crew: site engineers, buyers, back-office staff, and leadership. You invite people by email, and everyone sees only what their role needs — a site engineer, for example, never sees pricing.
- You invite people from Settings → Team using their email address.
- Every role comes with a permissions preset that you can fine-tune module by module.
- The "site engineer" role can log field progress without seeing costs or finances.
- You can limit someone to specific projects: the rest stop showing up for them.
- Subcontractors are an external role with access limited to their own subcontract.
- 1
Open Settings → Team
In the side menu, go to Settings and then Team. There you'll see every member and any pending invitations.
- 2
Send the invitation
Enter the person's email, pick their role, and send. They'll get an email with a link to join your company.
- 3
Pick the right role
Administrator (everything), site engineer (field logging without pricing), buyer (purchasing without finances), and more. The role decides which modules someone sees and whether costs are visible.
- 4
Fine-tune permissions if needed
Every preset can be adjusted module by module — for example, giving a site engineer access to progress reports but not the budget.
- 5
Limit them to certain projects if needed
On the person's row you can pick which projects they have access to. Once projects are assigned, the rest of the company's projects stop existing for them.
Frequently asked questions
How many users can I invite?
It depends on your plan: Free 2, Starter 10, Pro 25, Business 65, and Enterprise unlimited. Every user draws from the same company-wide pool of AI credits.
Can I keep a site engineer from seeing prices?
Yes. The "site engineer" role logs progress, daily reports, attendance, and photos, and never sees costs or finances. The records that are pure money — payroll, petty cash, payments, progress claims, contracts — are locked at the database level, not merely hidden on screen: even if someone inspects the app, that data never leaves the server.
Can I give access to just one project?
Yes. When you invite someone, or later from Settings → Team, you choose which projects they can access. Anyone with assigned projects won't see the others on any screen, not in the copilot and not in reports. With no projects assigned, they see all of the company's.
How do I add a subcontractor?
A subcontractor is a separate, external role. You invite them from Estimates, on their subcontract card, with a magic link; they only see "My subcontract".
