Take control of your equipment and tools
Equipment and tools (Jobsite menu) is where your assets live with an identity of their own: what you own, where each thing is and — most importantly — how much each machine earns or costs you. It is all deterministic and credit-free; the one optional exception is the spreadsheet importer, which can use cheap AI just to recognize your columns (always with a preview before anything is saved).
- Manual entry with a photo: name, make, serial number, purchase value, rates and hour meter. No QR codes, no hardware.
- Assigning to a job generates period charges (rate × days) that, once applied, land as real project spend in Progress, Reports and Forecast.
- An idle machine is revenue: log rentals to other builders with their payments and a printable rental slip carrying your branding.
- Maintenance by hour meter or calendar WARNS you when it is due — it never blocks — and its costs feed the asset's profitability.
- Tools are checked out with a signed form: a photo of the signed paper, the expected return date and the condition when it comes back.
- Reservations can be tied to a schedule task: if the task moves or rain is coming, you get a heads-up.
- Field capture from the “+” button: hour meter readings with a photo and diesel fill-ups with their receipt, with an offline queue when there is no signal.
- The hour meter is ONE series: the direct reading, the one from a fill-up, the one from a service and the one from a rental all feed the same history.
- The hourly cost is real: maintenance + diesel + operator + hourly depreciation (if you enter the useful life in hours).

Register your assets
In /equipo tap “Add asset”, choose Machine or Tool and enter name, make, model, serial number, purchase date and value, the internal rate (what the job “pays” to use it) and the current hour meter. Already have it all in a spreadsheet? Use “Import from Excel”: upload the file, review the preview and everything is created in bulk. Each asset has its own record — a page of its own that opens on availability (where it is today, its next 8 weeks and its calendar) plus photo, activity, maintenance, money and documents.
- 2
Assign the machine to a job
Open its record and tap “Assign to project”: pick the job, the operator and the rate (per day or per hour). The asset goes to “On site” and the Activity tab keeps every stay. To send it back to the yard or move it to another job, it is one click from the record itself.
- 3
Charge the fee to the job
On the Money tab, the system suggests the pending period (“Generate a 12-day charge”) at the agreed rate. The charge starts as a draft; once you Apply it, it becomes real project spend and shows up in Progress, Reports and Forecast as “own equipment fee”.
- 4
Rent out the idle machine
In the record tap “Rent out”: choose the renter — it can be a client from your CRM, so the rental ties into their collections record, or just a name — plus the period and the rate; the amount is suggested for you (days × rate). Activate the rental, log the payments as they come in, and print the rental slip with your logo from the printer icon. If the asset is assigned to one of your own jobs, the system warns you about the possible clash.
- 5
Service it before it slips by
On the Maintenance tab, create preventive rules by hour meter (“every 250 hours”) or by calendar — every so many days, weeks or months, or with an exact next-service date. You will see the countdown and a warning when it is close or overdue; nothing gets blocked. The pre-start inspection (the operator's 7 checks: brakes, lights, leaks…) creates a corrective ticket for each failure, with its note. When you close a ticket you enter the date, the labor cost, the parts (each one can come out of a central-warehouse item you choose, with its quantity; you can't take out more than what's on hand) and a photo of what failed.
- 6
Capture hour meter and diesel from the field
The platform-wide “+” button has “Hour meter reading” and “Diesel fill-up”: pick the machine, enter the number and the photo (of the meter or of the receipt) and you are done — 20 seconds. With no signal, the entry queues up on the phone and uploads itself when you reconnect. Every fill-up ties its cost to the job where the machine is working, and the Fuel tab shows consumption (liters per hour) and the totals by week or month, with a date-to-date filter.
- 7
Check tools out with a signed form
In a tool's record tap “Check out” and enter who is taking it, to which job, when it comes back and a photo of the signed form. The tool goes to “Checked out”; when it is returned you log the condition and it is available again. If it is past due, you see it in red and in the module's suggestions.
- 8
Reserve it and tie it to the schedule
In a machine's record, create a reservation for a job and, if you like, tie it to a schedule task: it inherits the dates and, if the task moves, the reservation tells you. The job's weather also warns you if rain is likely during the reserved window.

Work through today's suggestions
Above the list, “What to handle today” pulls together what is urgent: overdue maintenance, tools not returned, expired rentals and machines sitting in the yard that could be earning on a job or out on rent. Alerts are grouped by machine, and each one opens its record straight to the tab where you will fix it.
Frequently asked questions
What is the difference between the Warehouse and Equipment and tools?
The Warehouse tracks material that gets consumed (cement, rebar, cutting discs, drill bits). This module tracks assets with an identity that go out and come back: machines and tools with a serial number. A tool's consumables still live in the Warehouse.
Does the fee to the job double-count project spend?
No. Only an APPLIED charge enters the project's unified spend, once, under the “equipment” source. A draft does not count until you apply it.
Does overdue maintenance lock the machine?
No. Matterial warns you (on the card, in the record and in the suggestions), but the call to run or park the machine is always yours.
What are the “Module features”?
Optional packs for large fleets and for anyone who rents their machines out: Fuel (fill-ups, L/h consumption and an alert when usage goes off pattern), Transfers with cost (hauling and in-transit status), Equipment requests (the job asks, the manager approves and reserves), Professional rentals (overtime hours, deposit, delivery and return hour meters, charges by period, photo checklists and a link-shared catalog with your branding and real availability) and Fleet pro (machine comparison, utilization view and bulk hour meter capture). You turn them on from the settings button in /equipo; the light version is always there.
Do I need QR codes or GPS?
No. Registration is manual, with a photo: this is built for builders who track all of this in spreadsheets or WhatsApp today, with no extra hardware.
