Rent your machines out to other builders
An idle machine costs money every single day. Renting to third parties turns that dead time into revenue, and the module handles the whole thing: a branded catalog to bring in interest, the rental with clear rules (deposit, included hours, operator), delivery and return checklists with photos, and a per-client account statement you share by link. The professional rental features are turned on from the Module features button (the sliders icon) — if you do not need them, the module stays light.
- The catalog is a PRIVATE link with your branding: you choose which machines each link includes (one per client if you like), with or without rates, and every machine shows its availability calendar day by day.
- The prospect marks machines and dates and leaves their details; you are notified right away (bell + email) and turn it into a rental in one click: amount, contact and delivery site come already filled in, and they are saved as a client.
- A machine is never rented twice for the same dates: if they overlap, it tells you and won't let you activate the second one.
- A rental entered wrong is fixed with Edit rental; the quote that didn't happen is cancelled.
- A professional rental carries a security deposit, included hours per day, an overtime rate and the hour meter at pickup.
- If the machine goes out with an operator, you pick the employee from attendance and their hourly cost: at closing, that cost lands in the machine's P&L.
- When you close the rental with the return hour meter, overtime is calculated for you and its charge is created.
- Each client has their own account statement (agreed, collected, balance) with a public link and printing with your logo.

Turn the rental features on
In /equipo tap the Features button (the sliders icon) and turn on “Professional rentals” — plus whatever else you use, like fuel or transfers. Everything is opt-in: your module only shows what you turned on.
- 2
Build your catalog link
Tap “Public catalog”, pick the machines you want to offer and whether the rates are shown. It generates a short link with your branding (Brand Kit colors and logo) that you can copy, send by WhatsApp or print as a PDF. You can keep several links with different selections — one per client, for example — by giving them different names; generate with the same name and the SAME link is updated (the URL you already shared stays alive). Whoever opens it filters by dates, and every machine shows its availability calendar day by day — real assignments, rentals and reservations, with nothing for you to update.
- 3
Take in the leads
Anyone who opens your catalog can mark the machines they are interested in, choose the dates they need them and leave their name and contact, with no account. You find out right away: a bell in the app and an email with the details. Tapping the notification opens the leads tray; there, “Convert to rental” opens the machine's record with the name, contact, delivery site, dates and the amount (days × rate + delivery, the same the prospect saw in the catalog) already filled in. If the prospect isn't your client yet, they are saved as a client when the rental is created, so you can send them their account statement.

Set the rental up with clear rules
In the machine's record tap “Rent out”. You can tie it to a client from your CRM (if you gave them a discount, the rate comes pre-filled with it). With professional rentals you also enter: included hours per day, the overtime rate, the security deposit, the hour meter at pickup and — if it goes out with an operator — the employee from attendance with their hourly cost. If the dates overlap another active rental of the same machine, it tells you with the name and the dates: the quote can be saved, but it can't be activated while they overlap. Got the amount, the dates or the client wrong? “Edit rental” fixes it (the amount never goes below what was already collected), and “Cancel rental” withdraws the quote or rental that didn't happen, as long as it has no payments. An active rental with a future start shows as “Starts <date>”: the machine stays available in the yard until that day. Current and upcoming rentals also show on the machine's dashboard, one tap from their card.

Document pickup and return
The pickup and return checklists record the machine's condition, any damage (with its cost) and photos. The hour meter captured at pickup feeds the machine's history — it is the same series that maintenance and hourly cost use.
- 6
Bill by period and close with the overtime
During the rental, the system suggests the charge for the period elapsed; marking it collected records it as a dated payment. You can also record standalone payments (amount, date and note) and see each rental's payment history: a payment entered by mistake is reversed and stays in the history, never deleted. At closing you enter the return hour meter: overtime against the included hours is calculated for you, its charge is created, and the operator's cost (hours × rate) lands in the machine's P&L.

Share the account statement
The “Account statement” button (at the top of /equipo, or the document icon on a client's rental) builds the cut per client: each rental with what was agreed (overtime included), what was collected and the balance. Print it with your logo or share it by link — the client sees it in your company's language, with no account.
Frequently asked questions
Does the catalog show my rates to anyone?
Only if you want it to: when you create the catalog you decide whether the rates are shown or hidden. The link is also private (only whoever receives it can open it, and it does not show up in search engines) and revocable — turn it off and it stops working, or delete it for good from the list of deactivated ones.
How do I know whether a rental is worth it?
The module works out each machine's real hourly cost (maintenance + diesel + operator + hourly depreciation). If you rent below that cost, the Fleet tab tells you in plain words. And the “Rent one or move yours?” calculator compares renting an outside machine against hauling your own.
What if the client does not bring the machine back on time?
The overdue rental shows up in “What to handle today” and in your notifications. On top of that, if the machine has reservations from your own jobs that clash with the rental, the system flags the conflict.
How does the operator that goes with the machine get billed?
The operator's cost is internal: you pick the employee from attendance and their hourly cost (pre-filled from their daily wage ÷ 8). When you close the rental, hours × rate land as a cost in the machine's P&L — so the rental's net is real. What you charge the client for the operator is baked into your agreed rate.
Can I rent the same machine to two clients on the same dates?
No. You can save two quotes for the same dates (sometimes you quote two clients), but only one can be activated: when you activate the second, the system tells you who it overlaps with and on which dates. The rule lives in the database, so it doesn't slip through even if two people activate at the same time.
Can I give a repeat client a special price?
Yes. Each CRM client can carry a rental discount: when you rent to them, the rate comes pre-filled with the discount applied. Their account statement pulls all their rentals together.
